The full time Fleet Service Coordinator provides administrative and operations support under the general direction of a Vehicle Maintenance Foreman in the Department of Public Works Fleet Services Activity.  The position is responsible for planning and monitoring work for scheduled vehicle repairs; research, procurement and inventory control of parts necessary for the maintenance and repair of the Village’s fleet and equipment; and manages the Village’s gasoline and diesel supply contracts and fuel tank operations.  The position will assist in the development of requests for proposals; prepare contract bid documents and specifications in conjunction with the Finance Department, obtain competitive quotes, and maintain a variety of records, databases and reports.


ESSENTIAL FUNCTIONS:

  • Directly supervises the operation of the Fleet Services garage in the absence of the Foreman.
  • Independently coordinates preventative maintenance service by working with all Departments to schedule vehicle service.
  • Manages service request scheduling with various departments and distributes work tasks to the Mechanics.  Monitors actual versus anticipated repair work, including timeliness of work.
  • Independently researches, price quotes, procures and stocks all parts necessary to maintain and repair the Village’s fleet and equipment, and coordinates with vendors.
  • Daily responsibility for sourcing and pricing of parts for repairs, and tracks vehicle inspection certifications and weekly vehicle inspection reports.
  • Manages parts inventory, reorders stock and organizes parts room to ensure availability of parts, and distributes parts and schematic drawings to mechanics.
  • Responsible for parts inventory control and vehicle profiles working extensively with the Computerized Fleet Analysis (CFA) system.
  • Constantly monitors and maintains fuel inventory, oversees fueling and maintenance contracts, monitors fuel dispensing equipment and tanks, and manages data through the Fuel Management system.
  • Assists with the processing of purchase requisitions, invoices, surplus equipment, time cards, budgets, compendium and other administrative documents.
  • Monitors operating budget line items, tracks vehicle and equipment warranties, and researches manufacturer’s recalls.

 

KNOWLEDGE, SKILLS & ABILITIES:

Knowledge of the methods and practices associated with vehicle maintenance and repairs, and working knowledge of manufacturer’s service manuals and repair diagrams; ability to research parts availability and cost benefits in order to make independent purchasing decisions and develop recommended actions; must be able to organize work tasks efficiently and establish priorities based on operational and staff needs.

 

MINIMUM QUALIFICATIONS:

Graduate of High School and at least three (3) years of similar work experience. Associate Degree or vocational training in automotive and diesel vehicle maintenance, as well as related experience and certifications, desirable. Data entry and retrieval experience of records using computerized systems.  Knowledge of Microsoft Office, Computerized Fleet Analysis (CFA) software, Fuel Master software, desirable.

Possession of Illinois UST Operator Class A, B and C certifications, or ability to obtain within six (6) months of hire. Possession of a valid Class D (or higher) State of Illinois Driver’s License and a safe driving record.
